Reinforce Potential CIC
November 3, 2025
Seven apps, five contractors, one team running on systems that were quietly making everything harder.
Reinforce Potential CIC supports neurodivergent people through the UK Government’s Access to Work scheme. They’re good at what they do. Their tech setup was not good at what it did.
What Abi said:
“It’s a relief to know we can turn to Charlie for advice. It’s much more efficient than trying to pretend we know what we’re doing.”
The situation
Five team members. Seven different apps. An email system that couldn’t save drafts. Years of data scattered across Dropbox with no clear access controls. A WordPress site with broken scheduling tools. And real GDPR risk sitting underneath all of it.
Nobody had time to fix it. Nobody quite knew where to start.
What Charlie did
- Interviewed every core team member to understand how they actually worked before touching anything
- Migrated five years of email history and all Dropbox data into Google Workspace without losing a thing
- Cut the tool stack from seven apps down to two
- Fixed the WordPress scheduling and communication tools
- Trained the whole team on Google Docs, Calendar, and Meet
- Set up GDPR-compliant AI transcription for meetings — freeing up the person who used to take notes to actually contribute instead
The result
Lower costs. Less stress. Faster responses to clients. And a team that trusts their own systems now instead of working around them.
They valued it enough that when the project ended, they didn’t let him go — they restructured to keep him on a monthly retainer.
“Because of his personality, it is easy to approach Charlie for honest feedback about what we are trying to do and the outcomes we hope to see.”
“Charlie helped our little team transition to a more integrated tech system, most of which can be accessed via Google Workspace. The process was quick and just about seamless.
This process has saved RPC money, and with a little bit of informal consultancy, also saves us time. Because of his personality, it is easy to approach Charlie for honest feedback about what we are trying to do and the outcomes we hope to see.
It’s a relief to know we can turn to Charlie for advice. It’s much more efficient than trying to pretend we know what we’re doing!
I always enjoy working with Charlie directly, and I’m glad that our retainer enables us to include him in our weekly team meeting, to advise on possible tech solutions to problems that arise.”
